Responsibilities:

  • Key Patient Services Manager responsibilities:
  • Smile, be positive, humble and welcoming with each and every patient in person and on the phone
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person at the clinic
  • Answer, screen and forward incoming phone calls 24/7, including weekends and national holidays
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures). Keep the atmosphere welcoming and warm, make sure that patients are offered to have tea/coffee/water.
  • Provide accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Order front office supplies and keep an inventory of stock
  • Update calendars and schedule appointments and meetings
  • Arrange appointments with patients at the most convenient time for them, and coordinating the doctor's schedules together with the Clinic Manager
  • Prepare the invoices and reports when needed, under supervision of the Clinic Manager
  • Work with POS terminal, cash machine
  • Arrange travel and accommodations, and prepare vouchers
  • Prepare for approval information and documents for insurance companies
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Assist the Clinic Manager with Marketing duties, that may include:
  • Schedule meeting for the Clinic Manager with the above-mentioned companies
  • Make phone and email introductions (personal, not “info@..”)
  • Keep marketing databases updated, by looking for new companies
  • Update Survey list with questionnaires for all first-visit patients
  • Assist with preparation of marketing materials: designer, printing companies - only after approval of the Group Marketing Coordinator
  • Assist with preparation of the materials for various marketing promos or events where AMC is taking part
  • Distribution lists updating
  • Keep track of international events happening in KZ (not only in Nur-Sultan)
  • Prepare materials for the website

Requirements:

  • Microsoft Office Skills. Google Drive, Google Sheets
  • Proficiency in English - at least C1 is imperative
  • Decision-making skills
  • Solid communication skills both written and verbal
  • Excellent customer service skills
  • Willingness to learn new skills and meet a lot of amazing people

Terms:

  • trial period 3 months
  • official employment
  • 9am - 6pm Monday to Friday
