Your day-to-day:

  • Project Assistance: Support project managers in creating project plans, schedules, budgets, and scopes. Assist in establishing key milestones and defining deliverables;
  • Documentation and Record Management: Maintain up-to-date records of project documents, including project charters, Gantt charts, risk logs, and progress reports. Ensure version control and proper documentation for auditing and transparency;
  • Learning Facilitation: Educate business leaders, teams, and project managers on Waterfall and Agile methodologies and practices;
  • Progress Tracking: Monitor ongoing activities, track progress against schedules, and follow up with responsible parties to ensure tasks are completed on time. Use project management software to keep records updated;
  • Meeting Coordination: Schedule project meetings, prepare agendas, and document key decisions and actions. Track action items to ensure follow-through and completion within defined deadlines;
  • Communication Facilitation: Serve as a central point of communication between project stakeholders, including internal teams, clients, and third-party vendors. Manage the flow of project information and provide status updates;
  • Risk and Issue Log Management: Assist in tracking project risks and issues. Facilitate discussions on risk mitigation plans and follow through on resolution actions;
  • Status Reporting: Prepare weekly and monthly status reports for project stakeholders, summarizing project health, accomplishments, issues, and upcoming milestones;
  • Process Adherence: Ensure that all project-related processes are followed and assist the project team in adhering to established methodologies, such as Agile or Waterfall;
  • Administrative Support: Handle administrative aspects of project management, such as setting up project workspaces, managing calendars, and organizing project documents.

Who we’re looking for:

  • Higher education in the field of Economics, Finance or Project Management;
  • Minimum 4 years of project management experience;
  • Organizational Skills: Strong ability to manage multiple priorities, maintain organized records, and handle administrative tasks efficiently;
  • Communication Skills: Excellent verbal and written communication abilities to interact with stakeholders, facilitate meetings, and deliver updates clearly;
  • Detail Orientation: Ability to handle the details of complex projects, ensuring nothing falls through the cracks;
  • Technical Skills: Proficiency with project management tools and collaboration platforms, such as MS Project, JIRA, Confluence, MIRO or Trello;
  • Problem-Solving Abilities: Strong ability to identify issues, follow up on resolutions, and escalate when necessary;
  • Team Collaboration: Ability to work well within a team, proactively share information, and support colleagues to achieve common goals.
